In BizHub make sure the right company is open (company name at the top of the sidebar).
Go to Finance › Expenses & bills and tap Record expense — or on the dashboard tap Expense.
Description: e.g. Shop rent October 2026. Amount: the total on the receipt. Date: the date on the receipt.
Category (account): choose 6100 Rental.
Supplier: pick your landlord. Not in the list? Add them first in Sales › Customers & suppliers as a Supplier.

Record expenses, bills and receipts

Accepted Answer

Use Finance › Expenses & bills for everything the company spends: utilities, phone & internet, travel, petrol, stationery, software, professional fees, repairs and more.

Tap Record expense.
Fill in Description, Amount and Date.
Choose the Category (account) that fits, for example: 6200 Utilities (TNB, water), 6300 Telephone & internet, 6400 Transport & travel, 6500 Professional fees (audit, secretarial, tax agent), 6600 Bank charges, 6700 Marketing, 6800 Printing & stationery, 6850 Software & subscriptions, 6950 Repairs & maintenance, 6990 General expenses.

Question 4

Create and send an invoice

Accepted Answer

Go to Sales › Invoices & quotes and tap New invoice (or Invoice on the dashboard).
Customer: choose one, or type a new customer name to add it on the spot.
Check the date and due date (default comes from platform settings), and add a reference such as a PO number.
Add lines: Item description, Quantity and Unit price. Tap Add line for more. Add a Discount if needed.
Check Notes to customer and Terms (default terms come from the company profile).
Tap Issue invoice — the invoice number is generated and the sale is posted to your accounts. Save draft keeps it editable without posting.

Question 5

Record a customer payment and issue a receipt

Accepted Answer

Open Sales › Invoices & quotes and tap the invoice that was paid.
Tap Record payment.
Enter the amount received (part payments are fine), the date, the method (bank transfer, cash, cheque, card) and Deposit to (which bank or cash account received it).
Add the transaction or cheque number and tap Save payment.
An official receipt is generated — tap it to print or save as PDF.

The invoice balance updates and the status changes to Paid when fully settled. To undo, delete the payment from the invoice page.

Question 6

Send a quotation and convert it to an invoice

Accepted Answer

Sales › Invoices & quotes › New quotation (or Quotation on the dashboard).
Choose the customer, set Valid until, add the items and prices.
Tap Issue quotation, then Print / PDF to send it.
When the customer agrees, open the quotation and tap Convert to invoice — all lines are copied into a new invoice.

Quotations do not affect your accounts until they become invoices.

Question 7

Add customers and suppliers

Accepted Answer

Go to Sales › Customers & suppliers and tap Add contact.
Choose the Type: Customer, Supplier or both.
Fill in name, attention person, email, phone, address, company/IC number and TIN (needed for LHDN e-Invoice).
Save. The contact now appears when creating invoices or expenses, with the amount they owe you.

Basic includes 100 contacts; Pro is unlimited.

Bank & cash: capital, loans, bank charges and transfers

Finance › Bank & cash shows the balance of every bank and cash account plus all money in and out.
Record money that is not an invoice or expense

Tap Record transaction and choose Money in, Money out or Transfer.
Pick the Bank / cash account and the Counter account, for example:

Share capital paid by shareholders → 3000 Share capital
Director lends money to the company → 2200 Amount due to directors
Bank loan received → 2500 Bank borrowings
Monthly bank fees → 6600 Bank charges

A director paid a company expense with personal money

Accepted Answer

Very common in a new Sdn Bhd. Record it so the company owes the director:

Finance › Expenses & bills › Record expense.
Fill in the description, amount, date and category as usual.
Status: Already paid and Paid from: Amount due to directors (2200).
Attach the receipt and save.

When the company pays the director back, use Bank & cash › Record transaction › Money out with the counter account 2200 Amount due to directors. The balance sheet always shows how much is still owed.

Question 10

Financial reports: profit & loss, balance sheet, trial balance

Open Finance › Financial reports.
Choose a tab: Profit & loss, Balance sheet, Trial balance (Pro), General ledger (Pro) or Receivables aging.
Set the period (From / To) or the As at date, tick Compare last year if needed, and tap Show.
Tap Print / PDF to save or send it to your accountant.

Every number comes straight from your invoices, payments, expenses, bank transactions and journals — no year-end retyping. If the balance sheet says not balanced, check your opening balance journal.

Prepare the auditor pack for annual financial statements

Make sure the year is complete: all invoices, payments, expenses, bank transactions and director claims are recorded and receipts attached.
Upload bank statements, last year's accounts and contracts to Company › Document vault.
Open Finance › Financial reports and tap Auditor pack (top right). Choose the period within one financial year, tick Include all attachments, add handover notes (e.g. "depreciation not yet posted"), then tap Generate & download pack (.zip).

Most entries are automatic. Use a manual journal only for adjustments such as depreciation, accruals, prepayments or opening balances.

Finance › General journal › New journal entry.
Enter the date and Details (e.g. Annual depreciation 2026).
Add at least two lines: choose the account and put the amount in Debit or Credit (one side per line). Debits must equal credits — the form shows Not balanced until they do.
Tick This is an opening balance when moving balances from an old system.

Chart of accounts: add or rename an account

Every company starts with a ready Sdn Bhd chart of accounts (cash, bank, receivables, payables, share capital, sales, rental, utilities and more).

Open Finance › Chart of accounts.
Tap Add account, choose the Type (asset, liability, equity, income, expense), enter a Code and the names in BM and English.
Tick This is a bank / cash account for new bank accounts.
Save. The account is available in expenses, banking and journals.

System accounts (marked System) are used automatically and cannot be deactivated. Others can be deactivated when no longer used.

Payroll: employees, EPF/SOCSO and payslips (Pro)

Open People › Staff & payroll and tap Add employee: name, IC, position, join date, basic salary, allowances, bank account, EPF/SOCSO/tax numbers.
Each month tap Run payroll, choose the period and pay date. BizHub estimates employee and employer EPF, SOCSO and EIS.
Review the amounts (adjust if needed, tap recalculate contributions), then Confirm & post payroll — salaries and contributions are recorded in the accounts.

Choose a template — Directors' resolution (open a bank account, appoint an auditor, change address …), HR (offer letter, confirmation, warning) or General (payment reminder, authorisation).
Company details, directors and dates are filled in automatically. Edit the text, choose the letter language (BM/English) and save.
Tap Print / PDF. Signature spaces for every director are included.

Choose individual or corporate, then number of shares, share class, amount paid and date acquired.
BizHub warns you if the total paid differs from the paid-up capital in the company profile.
